WTTA hiring records: a practical checklist
A folder of documents is not yet a working process. You need to know what was checked before an assignment, who was responsible and what happened next. This approach helps you organise that work.
1. Identify the supplier consistently
Use a consistent identifier for each business and avoid duplicate records caused by trading names. Choose who reviews changes. In InleenDossier you can search by name or Dutch Chamber of Commerce number. The recorded business must match the party involved in the assignment.
2. Connect the assignment to its chain
Record both the direct supplier and formal employer. They may differ when intermediaries are involved. The NAU explains that relevant suppliers in the chain must satisfy the applicable admission rules too. An invoice does not automatically reveal the entire chain. Obtain missing information before relying on assumptions.
3. Record what you actually checked
Record the source, date, result and responsible person. Separate the evidence of a check from the conclusion you draw. InleenDossier supports manual records; it does not perform automatic NAU verification. Keep supporting documents with the relevant supplier so a colleague can follow the record.
4. Turn follow-up into a concrete task
A signal helps only when somebody knows what to do. Assign an internal owner and next review date. An announced suspension or withdrawal creates specific restrictions on new assignments and existing hiring must stop when the measure takes effect. Define a response to loss of admission in advance.
5. Check that a colleague understands the dossier
Ask somebody who did not create the record to find the chain and latest check. Add explanations where needed. InleenDossier’s checklist and timeline support this overview. Its completeness percentage is an organisational aid, not a finding of legal compliance.
6. Export deliberately and limit personal data
The application provides dossier PDF, CSV and ZIP evidence exports. Decide who may receive this information. Use hiring codes where possible and do not collect data simply because an upload field exists. Agree access and retention based on purpose and applicable duties.
