Zapier, n8n or custom automation: when do you choose which?

Zapier suits simple integrations between common apps, n8n suits longer workflows you want more control over and custom software suits a core process a tool cannot handle. I am not neutral: I build a lot in n8n myself. That is why below you will find the vendors' own prices and the situations in which I would not choose n8n.

Process automation: what I build → Which process do you automate first? → Custom software or off-the-shelf software? →

When do you choose Zapier, n8n or custom automation?

Choose Zapier if you want to connect two or three common apps without technical knowledge. Choose n8n if the workflow is longer, if you need conditions and AI steps or if you want to decide where it runs. Choose custom software if it is your core process, if the volume gets too high for a tool or if you want to show something to customers.

What do Zapier and n8n cost compared with custom software?

Zapier starts at $19.99 per month and n8n at €20 per month, both billed annually, while custom software at Datawonder is usually a one-off €2,000 to €25,000 excl. VAT. The Zapier and n8n prices below are from their pricing pages on 7 November 2026. The big difference is not the starting amount but what gets counted.

When is Zapier the best choice?

Zapier is the best choice if you want to set up something simple quickly and the apps are already on it: a form that lands in your CRM, a message in Teams for a new customer. You are done in an hour and you need nobody else. Note that a workflow with five actions counts as five tasks each time. At fifty times a day you quickly go over the 750 tasks.

When is n8n the best choice?

n8n is the best choice for workflows with conditions, multiple steps and AI, especially at high volumes, because you pay per execution and not per step. At Equote an n8n workflow fetches messages, filters them on a set of conditions and has AI read out the price, the domain and other attributes. You can also run n8n on your own server. The other side is that someone has to build and maintain it.

When is custom software better than an automation tool?

Custom software is better if the automation needs a screen for users, if the workflow becomes so complex that nobody can oversee it any more or if an outage directly costs your business money. A tool gets you started faster, but as you grow you pay more and more for something you do not control. My advice: start in a tool, measure the volume and only build when your numbers justify it.

How does privacy work with automation tools?

With an automation tool your data passes through the vendor's system, so you need a data processing agreement if personal data is involved. Also check where the processing takes place. If you run n8n on your own server in the EU, you decide that yourself, although the AI model you call remains a separate choice. Do not send more data than the step needs.

How do you start with automation?

Start with one process that happens often, has little variation and where a mistake does little damage. Measure how much time it takes now and then build the smallest version. A first automation with me is usually live within two to three weeks. If you can do it with Zapier in an afternoon, do that and do not call me.

The short version

Zapier for simple and fast, n8n for longer workflows and higher volumes, custom software for your core process. Always calculate ahead: Zapier counts every step, n8n every execution and custom software asks for an amount up front.
